Privacy Notice
In short: we ask for your details so we can quote, collect and deliver your shipment. We do not sell them, and we do not send you marketing you did not ask for. Your goods’ tracking page shows the route and stage only — never your name, address or contact details.

Who we are
SOAR WASTE ENGINEERING (PRIVATE) LIMITED, registered in Zimbabwe, company number 44758A0152025, registered office 9991 Nkulumane 12, P.O. Nkulumane, Bulawayo, Zimbabwe. We trade as SOAR GROUP and are the data controller for the information described here.

What we collect, and why
When you book a shipment
We ask for your name, phone number and email address; a description of your goods and how many items; the collection address in the UK and your preferred collection date; the destination country; the name and phone number of the person receiving the goods; the delivery address; and any photos or notes you choose to add.
We use this to quote your price, arrange collection, ship and clear your goods, deliver them, and contact you about your shipment. Our lawful basis is performance of a contract (UK GDPR Article 6(1)(b)) — we cannot move your goods without it.
When you request a hire, repair, waste collection or a quote
We ask for your name, contact details, and the details of the job. We use these to respond to your request and provide the service. The lawful basis is performance of a contract, or our legitimate interest in responding to an enquiry you sent us (Article 6(1)(f)).
Photographs of your goods
Photos are optional. We use them only to size and price your shipment. Please do not include anything in the frame you would not want us to hold — documents, number plates or people in the background.
The person receiving your goods
When you give us a recipient’s name and phone number, you are giving us someone else’s personal data. We use it only to deliver the shipment and to contact them about the delivery. Our lawful basis is legitimate interests (Article 6(1)(f)) — delivering goods the recipient is expecting.
Please tell the person you are shipping to that you have given us their details. If they contact us, we will explain what we hold and honour their rights in the same way we would yours.
Sending your data outside the UK
Your shipment travels from the UK to Zimbabwe or Botswana via Walvis Bay. To get it there we share the delivery address and the recipient’s name and phone number with our clearing agents, hauliers and delivery partners in Namibia, Zimbabwe and Botswana.
Those countries do not have a UK “adequacy” decision, which means they are not automatically treated as offering equivalent data protection. We make these transfers on the basis that they are necessary to perform the contract you have asked us to carry out (UK GDPR Article 49(1)(b)) — the goods cannot be cleared or delivered otherwise. We share the minimum needed to complete the delivery.
Who else sees your data
- Our hosting provider, which stores the website and its database.
- Our email provider, used to send your booking confirmation and to reply to you.
- Clearing agents, shipping lines, hauliers and delivery partners, as described above.
- HMRC, customs authorities and border agencies where the law requires it.
We do not sell your personal data, and we do not share it for advertising.
What the public can see
Anyone with your tracking number can see the route and current stage of that shipment — for example “Scotland, UK to Zimbabwe, at sea”. The tracking page never shows your name, address, phone number, email, the recipient, what you are shipping or what you paid. This is deliberate and enforced in the software: the tracking service is built from a fixed list of publishable fields, so a new internal field cannot be exposed by being forgotten.
How long we keep it
We keep shipment records for 6 years after delivery, because customs, tax and liability records generally need to be retained that long. Enquiries that do not become bookings are deleted after 12 months. Photographs are deleted once the shipment is delivered and any claim period has passed.
Your rights
You can ask us to: show you what we hold about you; correct anything wrong; delete it, where we are not required to keep it; restrict or object to how we use it; or send it to you or another provider in a portable form.
Email info@soaengineering.com and we will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Cookies
This site uses cookies that are necessary for it to work, and to keep the site secure and fast. [If analytics, chat or advertising tools are added later, list them here and add a consent banner — non-essential cookies need consent before they are set.]
Keeping it safe
The site is served over HTTPS. Access to booking records requires a WordPress login. Lookups on the public tracking service are rate limited, and the booking form is protected against automated abuse.
Changes
If we change how we use your information we will update this page and change the date at the top.
